Scolentra safeguarding approach

Scolentra is designed so safeguarding is part of the tutoring workflow rather than an informal afterthought. This operational draft requires professional safeguarding/legal review before the real pilot.

Tutor standards

Tutors must complete the platform's verification and safeguarding requirements before being approved for relevant child tutoring. Approval is subject/level specific and may be paused, restricted or withdrawn.

Professional boundaries

Under-18 tutoring communication should remain on Scolentra. Tutors must not request private contact details, WhatsApp/social-media contact, secret communication or unapproved private meetings with a child.

Reporting concerns

A parent/carer or tutor can report a concern from a lesson. Reports are private and linked to the relevant booking. Immediate danger or a crime happening now should be reported to the appropriate emergency services rather than waiting for Scolentra's internal process.

Complaint and safeguarding levels

Level 1 covers ordinary service issues. Level 2 covers conduct concerns. Level 3 covers safeguarding concerns and is restricted to authorised safeguarding administrators.

Safeguarding case actions

Authorised staff can open a safeguarding case, move it through review, record private notes, pause new bookings, mark a tutor under investigation, suspend teaching, review authorised evidence and resolve the case with an audit trail.

Evidence access

Broader lesson evidence is not available through a general browsing screen. A safeguarding case and a recorded reason are required, access is time-limited, and access itself is audited. Ordinary users and ordinary support staff do not receive safeguarding evidence access.

Recording and transcript status

Scolentra does not currently record lessons or create transcripts. The evidence workflow therefore shows only information that currently exists, such as booking/attendance, messages, learning records and safety history. Any future recording/transcription system requires transparent notice, retention rules and restricted case-linked access before activation.

Restrictions and restoration

New-booking pause, investigation status and teaching suspension are separate controls. Restoring one control should not silently restore all access. Significant actions are audit logged.

Privacy and minimisation

Safety reports should avoid unnecessary child information. The platform uses linked booking context where possible instead of duplicating sensitive personal details into every safety record.

Before the real pilot

Named safeguarding responsibility, external escalation procedures, retention periods and final policy wording must be formally approved.
