Scolentra privacy notice
This notice describes the data used by the Scolentra staging pilot. It is a product and operational draft for professional legal review before any real closed pilot.
Use fake identities and fake child information in staging. Do not upload genuine DBS documents, payment information or other sensitive evidence.
Information Scolentra currently uses
Account information may include name, email, UK mobile number, account type and notification preferences. Parent-managed learner profiles use limited information such as first name, age band, school year, subjects, exam level, current level, target, areas needing support and availability.
Tutoring records can include tutor applications and verification status, approved subjects, availability, booking and attendance information, messages, lesson summaries, homework, learner submissions, tutor feedback, reviews and progress information.
Safety and complaint information
Reports of concern, complaint triage, safeguarding cases, tutor restrictions and authorised evidence-access audit records are kept separately from public marketplace information. Safeguarding evidence is restricted to authorised roles and case-linked access.
Payments
Real card payments are not connected in the current staging build. Booking prices and private tutor payout records exist for testing, but staging bookings are not secured by a real payment. A payment-provider notice and final commercial wording must be completed before live payments are enabled.
Video, recording and transcripts
Live lessons use a private Daily video room. Scolentra does not currently record lessons or create transcripts. If recording/transcription is introduced later, it must be transparent to participants, restricted to justified purposes, governed by retention rules and reflected in an updated privacy notice before use.
Service providers
The staging application uses Firebase for authentication/database services, Vercel for application hosting and Daily for live video. Access to operational data should be limited to what is necessary to provide and protect the service.
Children's information
Scolentra is designed to minimise child data. Child learner profiles are parent-managed in the current build and do not require a home address, school name or full date of birth. Communication and safeguarding controls are designed to keep tutoring activity on-platform.
Retention and deletion
Data should be kept only for as long as needed for the tutoring service, legal obligations, safety, complaints and legitimate operational records. Final retention periods, including any future recording/transcript retention, must be approved before the real pilot.
Your choices and rights
Users should be able to correct account information and raise privacy questions or requests with the Scolentra pilot administrator. Formal rights handling, controller identity and contact details must be finalised in the legally reviewed version before launch.
